What Payroll Island requests

The connection requests identity, offline access and accounting transaction access. Each Payroll Island organisation has a separate encrypted Xero connection.

Connecting does not send a payroll journal automatically. Export controls and account mapping can be enabled as the next accounting step after the correct Xero organisation is verified.

When enabled, the approver must be different from the person who prepared the run and the person who exports its payments. When disabled, one user with the required role permissions can prepare, approve, lock, export and mark payroll paid.

Getting started and navigationSign in, move around, refresh data and understand access.
  1. Sign in and select the correct organisation if your account belongs to more than one.
  2. Use the icons across the top to open Settings, Maintain, employees, payroll inputs, roster, timesheets, pay runs, reports and notifications.
  3. Your name menu contains your personal settings, profile photo, workspace switcher and sign out.
  4. Select a page to load its latest records. If figures look stale, use Refresh where shown or leave and reopen the page. Check the status before repeating any action.

Access: Payroll Island only displays actions allowed by your assigned role. Ask an administrator if a page or action is missing.

Organisation and payroll setupCompany details, payroll dates, payments, email and Account Island.
  1. Open Settings → Organisation and enter the legal name, registration details, address and contact information.
  2. Open Payroll defaults to set the pay week, usual payday, leave policy, attendance-history start date and payslip options.
  3. Open Settings → Payments to configure the supported payment method and protected bank details.
  4. Open Email settings to choose the delivery provider and maintain process email templates.
  5. Use Account Island only when the organisation needs the controlled payroll export feed.

Users, roles and securityInvite users and control what they can see and do.
  1. Open Settings → Access & roles.
  2. Create or invite the user, then assign only the role and company or branch scope they require.
  3. Use separate preparer and approver users when approval separation is enabled.
  4. Review inactive users and revoke access promptly. Never share accounts or passwords.

Employee mobile accounts cannot see payroll information belonging to other employees. Organisation and branch restrictions also apply to payroll users.

Employee recordsAdd employees, rates, rosters, opening balances and documents.
  1. Open Employees and choose Add employee.
  2. Complete identity, address, employment, tax, FNPF, bank and organisation-assignment details.
  3. Add the employee's effective-dated rate and roster. The applicable record is selected by the work date.
  4. Use Opening history for brought-forward pay and leave figures, recording the date the values entered this system.
  5. Use the employee file for leave, sick leave, advances, deductions, reimbursements, documents and termination.
  6. Send employee access when they should use the mobile workspace.

Rosters and planned hoursCreate normal work patterns and manage approved changes.
  1. Select Roster in the top navigation to review the selected week across the workforce.
  2. Find the employee and choose Edit pattern.
  3. Use Weekly when the same Monday-to-Sunday schedule repeats every week. Enable working days and enter each start, finish and unpaid break.
  4. Use Pattern for a repeating sequence such as four working days followed by four off days. Add the working and off segments in their repeating order.
  5. Effective from is the first date the new roster applies. Earlier effective and locked payroll history remains unchanged.
  6. For Pattern mode, Pattern anchor is day one of the cycle. Choose the real first day of the first segment so later working and off days align correctly.
  7. Use the preview calendar to check the complete cycle. Off days are not planned attendance days; public holidays and approved leave display separately.
  8. Save as template stores the current weekly or pattern arrangement for reuse. It does not apply it to the employee until you select Save roster pattern.
  9. Use a roster move or swap for an approved one-off change before the timesheet is confirmed. If a confirmed timesheet is affected, unconfirm it first.

Timesheets and employee confirmationRecord actual work, confirm weeks and resolve employee queries.
  1. Open Timesheets and choose the week.
  2. Check every planned day, record the actual status, start, finish and break, then save.
  3. The red variance beside planned hours is actual worked hours minus planned hours. It appears only when the two differ.
  4. Confirm the week when it is complete. Confirmed entries cannot be edited until an authorised user unconfirms them; payroll-locked entries stay locked.
  5. The employee receives the confirmed week in mobile and can select Confirm or Query. A query requires a message and shows an orange question mark beside their name.
  6. Resolve the query in Notifications or Timesheets before relying on the week for payroll.

Annual, sick and other leaveRequest, approve, decline and pay leave correctly.
  1. Open an employee file and choose Book leave or Record sick leave.
  2. Select the leave type, dates or hours, reason and supporting evidence where required.
  3. An authorised approver checks eligibility, roster coverage and balance, then approves or declines the request.
  4. Approved paid sick, annual and bereavement leave count as attended. Unpaid leave counts as unattended; off days are excluded.
  5. The employee receives an in-app notification showing the decision, leave type and dates. Declines include the reason.
  6. Leave is only applied when a request exists; a short shift does not automatically consume leave.

Payroll inputs, pay codes and reimbursementsImport controlled inputs and manage one-off payments.
  1. Maintain pay codes first, including tax, FNPF, evidence and any rate per unit such as FJD 1.69 per km.
  2. Use Payroll inputs to download the template, upload a CSV, review validation results and commit accepted rows.
  3. Use the employee file or maintenance area for wage advances, deductions and reimbursements.
  4. Attach required evidence and obtain approval before the item is included in a pay run.
  5. Check the pay-run preview to confirm quantity, unit rate, total and treatment.

Complete pay-run processPreview, create, validate, approve, lock, pay and open the next period.
  1. Make sure all required timesheets and leave decisions are complete.
  2. Open Pay runs, choose the frequency and period, then select Preview batch.
  3. Review every employee's hours, planned variance, overtime, extras, gross, PAYE, FNPF, reimbursements and net pay.
  4. Resolve every warning or query, then create the draft pay run.
  5. Validate the draft. A user with approval authority then approves and locks it; without authority it shows Locked and waiting approval.
  6. Generate the payment file or record manual payments, reconcile totals, and mark the run paid only after payment is confirmed.
  7. Issue payslips and statutory outputs as required. Completing the run prepares the next pay period.

Important: Locking freezes the figures and audit trail. Never rely on a run whose register, timesheet and payment totals do not reconcile.

Corrections, additional pay and terminationCorrect paid periods without changing locked history.
  1. Do not edit a locked or paid timesheet or pay run.
  2. Use Add pay or the correction workflow to create an additional numbered timesheet and pay run.
  3. Enter only the correction or additional amount and keep the original locked record unchanged.
  4. For termination, schedule the final employment and pay dates from the employee file, preview all final-pay components, then include them in the designated run.
  5. After the final payment, review the final payslip, termination communication and summary of earnings.

Payments and payslipsCreate bank files, record payments and deliver employee documents.
  1. Use only a locked pay run to prepare payment.
  2. Compare the payment total with the locked pay register before generating the bank file.
  3. Check account details carefully—the bank may not verify the beneficiary name against the account number.
  4. Record manual payments separately and retain supporting evidence.
  5. Mark the run paid after confirming the payment outcome, then make payslips available to employees.

Payslips show the configured company and employee addresses, earnings, deductions, statutory amounts, net pay and day-by-day hours.

Reports and statutory returnsPayroll evidence, reconciliation, FNPF, PAYE and tax certificates.
  1. Open Reports and choose the report, period, pay run or employee.
  2. Use the pay register and payment reconciliation before and after payment.
  3. Use payroll totals, employee totals, pay history, leave, advances and reimbursement reports for internal review.
  4. Generate FNPF, PAYE, FNU levy and tax certificate outputs for the applicable statutory period.
  5. Review the on-screen result before printing, downloading or emailing it.

Notifications and employee queriesRead inbound items and send an employee notification.
  1. The red number on the bell counts unread inbound employee notifications and other work needing attention—not messages you sent.
  2. Open Notifications, choose the employee, and read the conversation.
  3. Select New to send a notification or reply directly to the person who contacted you.
  4. Opening an unread notification marks it read. Employee-sent notification conversations remain available for 14 days.
  5. Timesheet queries also appear beside the employee in Timesheets and Pay runs.

Employee mobile workspaceRoster, timesheets, notifications, payslips and personal requests.
  1. Send employee access from the employee record. The employee follows the secure invitation and creates their own password.
  2. Home combines the next shift, current roster and attendance information.
  3. Leave balances is in the employee menu. Check each leave type, its units, eligibility and next entitlement date. Tap Refresh to update. Pending requests and future approved leave may not yet be deducted. To request leave, return Home and select a roster day.
  4. Timesheets lets the employee review confirmed hours and choose Confirm or Query.
  5. Notifications shows payroll updates and allows a new notification or reply.
  6. Employees can view their own payslips, deductions, reimbursements and details, and submit permitted changes or evidence.

The mobile workspace is self-service only: employees cannot view another employee or the employer's full payroll.

Checks and troubleshootingWhat to check when figures, access or pages do not look right.
  • Wrong hours: compare roster, actual timesheet, breaks, leave and additional timesheets for the same period.
  • Wrong variance: it must equal actual worked hours minus the planned roster hours for that week.
  • Cannot edit: check whether the timesheet is confirmed or included in a locked payroll.
  • Cannot see a page: confirm the user's role, permission and company or branch assignment.
  • Stale page: leave and reopen the page or use Refresh. Do not repeat a completed payment or submission without checking its status.
  • Service offline: stop processing and contact the system administrator before retrying a financial action.
